How to get there

Sidebar›Operations›Maintenance

Key features

  • Create / edit / delete maintenance work orders
  • Status workflow: scheduled → in progress → completed (or cancelled)
  • Priority levels and vendor tracking
  • Record cost and odometer at service time
  • Mileage-based maintenance alerts — a daily scan flags vehicles past their service interval (default 15,000 mi)
  • Per-vehicle service-interval overrides and a last-maintenance mileage baseline, editable inline
  • Mileage Maintenance Alerts strip with View-unit and Dismiss, plus a Mileage Due indicator on each vehicle
  • Completing a work order stamps the odometer baseline and auto-clears that vehicle's alert
  • Parts inventory tab with quantity, unit cost, reorder levels, and part images
  • Attach invoice PDFs and photos to each work order via private storage
  • Link one or more invoices to a work order for complete cost documentation

Step-by-step

  1. 1Open the sidebar → Operations → Maintenance.
  2. 2Review the Mileage Maintenance Alerts strip at the top for any vehicles past their service interval; click View unit to open the vehicle or Dismiss to clear an alert.
  3. 3Click New Work Order — pick the vehicle, service type, and priority.
  4. 4Set the scheduled date and vendor, then save.
  5. 5Attach the vendor invoice PDF and any repair photos to the work order, and link the related invoice records for full cost documentation.
  6. 6Update status as work progresses (in progress → completed).
  7. 7Record cost and odometer when the service is finished — this stamps the maintenance mileage baseline and clears the vehicle's alert.
  8. 8In the vehicle schedule table, set a per-vehicle service interval (mi) and last-maintenance mileage to customize when the next mileage alert fires.
  9. 9Use the Parts Inventory tab to track stock and reorder levels, and upload a photo for each part.
